Privacy Policy

1. Who we are

Frontora AI ("Frontora", "we", "our" or "us") provides an AI receptionist and business-management platform: the web app at frontora.app, the website at frontora.ai, and the Frontora apps for iOS and Android. Frontora is operated by Pinnacle Codes. This Privacy Policy explains what information we collect, how we use and share it, how long we keep it, and the choices you have.

Frontora is used by businesses ("clients"). When we handle information about a business's own customers (for example, people who call or text the business), we do so on that business's behalf and under its instructions. Questions about that information can also go to the business you contacted.

2. Information we collect

Account information

  • Name, e-mail address, phone number, role and the business and locations you belong to.
  • Your password, stored only as a one-way hash.
  • Settings such as time zone and notification preferences.
  • Business details: business name, address, phone numbers, business hours and services.

Calls and voicemails

  • Caller and called phone numbers, call times, duration and status.
  • Call recordings, transcripts and AI-generated summaries, intent, sentiment and outcome.
  • Voicemail recordings and their transcripts.

Text messages (SMS)

  • The content of text messages sent and received through a business's Frontora number, the phone numbers involved and delivery status.
  • Opt-out keywords (such as STOP) so we can honour them.

Customers, leads and appointments

  • Contact details a business stores or our AI receptionist captures: name, phone, e-mail, address, notes and visit history.
  • Appointment details: date, time, service, notes and confirmation status.

Payments

  • Payments are processed by Stripe. We receive and store Stripe customer and subscription identifiers and billing status, not full card numbers.

Mobile apps

  • A device sign-in token, so the app keeps you signed in (we store only a hash of it).
  • If you allow notifications, a push-notification token for your device, plus the platform (iOS or Android) and app version.
  • The apps don't access your contacts, photos, location, camera or microphone.

Connected calendars

  • If you connect a Google or Microsoft calendar, the access tokens and calendar details needed to sync appointments.

Usage and technical information

  • Pages viewed in the app, sign-in times, IP address, browser and device type, and error logs, used to run, secure and improve the service.
  • Cookies that keep you signed in and remember your preferences. We don't use advertising cookies or cross-site tracking.
  • If you use the in-browser phone, your browser asks for microphone access, which is used only during calls you place or answer.

3. How we use information

  • To provide the service: answer and route calls, take messages, book appointments, send confirmations, reminders and replies, and show your calls, messages and customers in the app.
  • To process calls and messages with AI: transcription, summaries, analysis and suggested replies.
  • To send account, security and service notifications by e-mail, text or push notification.
  • To process payments and manage subscriptions.
  • To provide support, keep the service secure, prevent abuse and fix problems.
  • To comply with legal obligations.

We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not show ads in Frontora.

4. Service providers

We use these providers to run Frontora. They process information on our behalf and only to provide their service to us:

  • Twilio: phone numbers, calls, recordings and text messages.
  • AI voice platform provider: the AI voice receptionist that answers calls.
  • AI model providers: AI language and speech models for transcripts, summaries, analysis and suggested replies.
  • Stripe: payments and subscriptions.
  • Google and Microsoft: calendar sync, only if you connect a calendar.
  • Amazon Web Services: storage of call recordings, where enabled.
  • Apple and Google (Firebase Cloud Messaging): delivery of push notifications to the mobile apps.
  • Our hosting provider and e-mail delivery provider.

5. When we share information

  • With the business you deal with. Call, message and appointment information is shared with the business you called, texted or booked with.
  • With your team. Users of the same business account see information according to their role.
  • For legal reasons. When required by law, court order or a government authority, or to protect the rights and safety of users and others.
  • Business transfers. As part of a merger, acquisition or sale of assets, subject to this policy.

6. How long we keep information

  • We keep account and business information while the account is active.
  • Call recordings, transcripts and messages are kept while the business account is active, unless the business deletes them sooner.
  • When you delete your account, it is deleted 14 days after your request (you can cancel until then). Your name, e-mail, phone number and password are removed, and your sign-in sessions, app tokens, push tokens and calendar connections are deleted.
  • If you are the only owner of a business account, the business account is closed when your account is deleted, and its customer data (customers, calls, recordings, transcripts, text messages, appointments and voicemails) is erased 30 days later.
  • We keep records we must keep by law (for example invoices and payment records) and a record that a deletion happened, without its personal content. Backups are kept for a limited period and then deleted.

7. Deleting your account

  • In the app or on frontora.app: My Account → Delete my account.
  • Without signing in: frontora.app/account/delete.
  • By e-mail: support@frontora.ai.

8. Your choices and rights

  • You can view and update your profile in My Account, and turn e-mail notifications on or off.
  • You can turn push notifications off in your device settings.
  • People who receive texts from a business through Frontora can reply STOP to opt out.
  • Depending on where you live (for example California, Canada, the UK or the EU), you may have the right to access, correct, delete or receive a copy of your personal information, and to object to or restrict some uses. Contact support@frontora.ai to exercise these rights. We will not discriminate against you for exercising them.

9. Security

We use encryption in transit (HTTPS/TLS), hashed passwords and tokens, role-based access controls and audit logs. No method of transmission or storage is completely secure, so we can't guarantee absolute security.

10. Children

Frontora is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children.

11. International processing

Frontora is operated from, and its data is processed in, the United States and other countries where our service providers operate.

12. Changes to this policy

We may update this policy. We will post the new version here with a new "last updated" date and, for significant changes, tell account owners by e-mail or in the app.
